Refund Policy

Refund and cancellation terms for Dogwood Field Consulting advisory engagements, sessions, and retainers.

Overview

This Refund Policy applies to all advisory services provided by Dogwood Field Consulting. Specific terms may also be outlined in your engagement agreement or proposal.

Discovery conversations

Initial discovery calls (up to 90 minutes) are provided at no charge. No refund applies as no payment is collected.

Executive Decision Advisory (project engagements)

Deposit

A 40% deposit is required to commence project work. The deposit covers initial scoping, kick-off sessions, and the first phase of analysis.

Cancellation by client before work begins

If you cancel after accepting a proposal but before the kick-off session, the deposit is refunded in full minus a $500 administration fee.

Cancellation by client after work begins

  • Within the first week: 50% of the deposit is refunded. Work completed to date is charged at the agreed project rate.
  • After the first week: The deposit is non-refundable. You are invoiced for work completed to the cancellation date, calculated as a proportion of total project scope.

Cancellation by Dogwood Field Consulting

If we cancel an engagement for reasons within our control, all fees paid (including deposit) are refunded in full.

Strategic Planning Sessions

Cancellation more than 14 days before session

Full refund of any fees paid.

Cancellation 7–14 days before session

50% refund. The remaining 50% may be credited toward a rescheduled session within 90 days.

Cancellation less than 7 days before session

No refund. A rescheduled session may be arranged at our discretion, subject to consultant availability and a $400 rescheduling fee.

No-shows

If your team does not attend a scheduled session without prior notice, no refund is provided.

Board Advisory

Per-meeting engagements

Cancellation more than 7 days before a scheduled meeting: full refund. Cancellation within 7 days: no refund, but the meeting may be rescheduled once within 60 days.

Quarterly retainers

Retainers are invoiced at the start of each quarter. If you cancel mid-quarter:

  • Work completed (meetings attended, papers reviewed) is charged at the per-meeting rate.
  • The remaining retainer balance is refunded.

30 days’ written notice is required to cancel a retainer at the end of a quarter.

Work already delivered

Fees for completed deliverables (decision briefs, session notes, board papers) are non-refundable once delivered, regardless of whether you agree with the recommendations.

Materials and expenses

Third-party costs incurred on your behalf (travel, research subscriptions, printing) are non-refundable once incurred. These are itemised separately on invoices.

Refund process

  1. Submit a refund request to info@system-dogwoodfield.click with your name, engagement reference, and reason.
  2. We acknowledge receipt within 2 business days.
  3. Approved refunds are processed within 14 business days to the original payment method.
  4. Bank transfer refunds may take an additional 3–5 business days to appear in your account.
